Important Considerations and Best Practices 

Consider using the data from a case management system to develop real-time reports and data dashboards to improve the ability of supervisors to monitor legal work. 

Implementing a Document Management System ("DMS") platform can significantly enhance the ability of a supervisor to access and review case files. Although implementing a DMS may not be a viable option for some programs, grantees should be aware of its benefits and integral role in improving supervisor workflows. Being able to easily find the activity and documents associated with each case helps a supervisor prepare for case reviews and look for any stale cases. This cannot be done if advocates fail to use a system for storing documents.  

While integrating a DMS with a case management system will yield significant efficiencies in case and document management, utilizing a DMS alongside a case management system ("CMS") still has significant benefits over a standard network file-share system, including automatic document versioning, use of metadata to manage files, and the ability to index and search the contents of all documents.
